Relational Estate & Elder Law helps residents in Winchester, Northern Virginia, and the Shenandoah Valley plan for the future through estate planning, elder law, and estate administration. Led by Joshua E. Hummer, Esq., the firm operates out of offices in Winchester and Ashburn, Virginia. New clients start with an introductory call led by Intake Team Lead Samantha Vandeberg, who gathers information about their assets, relationships, and estate planning needs before scheduling them for a consultation with an attorney.
With a growing team and two locations, scheduling at Relational Estate & Elder Law was difficult to manage at scale. The firm handles a wide range of appointment types, from initial estate planning consultations to paid sessions, document signings, and elder law meetings. Coordinating availability across staff while giving clients a straightforward way to book was a persistent challenge.
"My introductory calls are where we learn what each client actually needs. I'm asking about their family, their assets, their concerns. The last thing I want is for scheduling to get in the way of that process."
Since December 2021, the firm has used CozyCal to manage scheduling across its entire practice. Today they run 11 distinct booking pages, each configured for a specific appointment type. Samantha uses the Estate Planning Introductory Call page to schedule her initial conversations with new clients, then books them into the appropriate follow-up: an Estate Planning Consultation, Elder Law Consultation, or Estate Administration Discovery Call depending on what they need. The remaining booking types cover everything from paid consultations and document signings to trust funding calls and guardian meetings.
With nine team members on team scheduling, the staff who manage client appointments each maintain their own calendar and availability. The Clio Manage integration connects CozyCal directly to their legal practice management system, syncing scheduled events and new contacts into Clio's database automatically, which eliminates the need for manual data entry between scheduling and case management.
When the firm recently decided to migrate from Zoom to Microsoft Teams for virtual meetings, Samantha submitted a feature request for a Teams integration. CozyCal shipped the integration within days.
"I wanted to thank you personally for the work you all put into this. It's rare that a request ticket gets acknowledged by most companies, and your promptness to integrate Teams is so appreciated. It shows the company values behind the product! This attention to customer care has not gone unnoticed. Please extend our gratitude to your team!"
After more than four years as a CozyCal customer, the firm continues to expand how it uses the platform, adding new booking types and team members as the practice grows.
